POSITION SUMMARY
Reporting directly to the Director of Human Resources & Administration, the Administrative Assistant is responsible for providing general office administration support including reception coverage, report maintenance, data entry, mail distribution, meeting coordination, filing, and preparing and distributing internal and external communications.
The following duties outline, but do not limit, the regular position requirements:
- Receiving, screening and forwarding inbound reception calls
- Distributing daily Networks spreadsheet
- Distribution and screening of internal mail, and coordination of outgoing mail
- Verifying Sales Orders against Purchase Orders to ensure accuracy
- Preparing, sending, receiving and distributing faxes
- Collection of biweekly timesheets and input onto biweekly payroll spreadsheet
- Coordination of meetings including room bookings and set up
- Preparing & purchasing refreshments for meetings
- Prepare monthly Top Customer Report
- Coordinate monthly marketing campaign mail
- Provide Executive Support as required to Senior Management Team including expense reporting, preparation/editing of correspondence and filing
- Mailing monthly account receivable invoice statements

- Enters bank books and assists with bank deposits on rotation
- Maintenance and distribution of office phone listings
- Intake and logging of unsolicited resumes/applications
- Assist with various projects as assigned
- Performs all tasks in accordance with established Safe Work Practices and Standard Operating Procedures
- Other duties as assigned
QUALIFICATIONS
The successful candidate will possess the following:
- Secondary School diploma or equivalent
- 1-2 years experience in similar office administration role
- Previous reception experience operating multi-line intercom and paging system
- Superior customer service skills and excellent professional phone manner
- Ability to interact appropriately and effectively at all levels of the organization
- Excellent organizational, time management, and follow-up skills
- Superior communication skills both oral and written
- Advanced computer skills including: Microsoft Word, Excel and Outlook and internet applications
- Ability to perform basic mathematical calculations (add, subtract, multiply, divide)
- Flexibility to work overtime as required
WORK SCHEDULE
- Week 1, 9am-1pm
- Week 2, 1pm-5pm
- As required, 9am-5pm
